# PAT testing records: what a useful appliance register should contain
By Test Master UK18 October 20262 min read

Service illustration: pat testingA PAT testing register is useful when someone can match its entries to real equipment and see what needs attention. A certificate summary alone may not answer whether a particular kettle was tested, where a failed lead went or whether a repaired item returned to service safely. Consistent records turn a testing visit into a manageable maintenance system.

## Give equipment a stable identity
Use an asset number alongside a plain description and location. 'Laptop charger' is not enough if the office has dozens of similar chargers. Retain the same identifier across inspection cycles where practical, and mark items that have moved, been replaced or been removed from service.

For multiple properties, use site identifiers as well as room names. Otherwise 'Kitchen 1' can refer to several locations. An inventory should distinguish owned equipment, leased items and equipment outside the agreed inspection scope rather than quietly omitting them.

## Keep outcomes connected to actions
Record the inspection or test date, result and relevant findings. Where readings are provided, retain them with the item record. A failed entry needs an owner and an outcome, such as repair followed by appropriate checks or disposal and replacement. Avoid deleting the history simply because the item is no longer present.

A label is a convenient reference, not a guarantee that an appliance remains safe indefinitely. Damage after testing should be reported and acted on immediately. The register should allow unplanned inspections and repairs to be added between scheduled visits.

## Make the next review explainable
Store the agreed next inspection or testing point and the reason behind the schedule. Keep contractual dates distinguishable from risk-based intervals. That helps the next person managing the site understand the plan without guessing from the last sticker.

Ask about the register format when booking PAT testing with equipment records. For a Greenford premises, use the local PAT testing enquiry route and include the number of sites and approximate item count.

## Make records available to the right people
Keep a controlled copy accessible to the facilities contact or landlord, not solely in a departed employee's inbox. Share the information needed for action while avoiding unnecessary tenant or employee personal data. Back up the register and agree who can update it.

- Stable asset ID, description and site location.
- Dated results and relevant observations.
- Failure actions and repair or replacement outcome.
- Agreed review point and schedule rationale.
- A named record owner and accessible copy.
